Permits arrive, daily

You pick the counties your branches actually serve and the construction types you sell into. New building permits for that footprint land every day, with the contractor, the address, the valuation, and the date the permit was issued — not the date we happened to ingest it.

A building permit is a public, dated, valued signal that someone is about to buy a large quantity of building materials. It is the closest thing this industry has to buying intent.

Matched against your accounts

Every incoming permit is matched against the accounts you already have. Contractor names are messy — “Sierra Ridge Construction,” “Sierra Ridge Constr. Inc.,” “S.R. Construction LLC” — so a person confirms every link before it sticks.

That review step is deliberate. A wrong automatic match puts a stranger’s permit on a real customer’s account, and reps stop trusting the system after one of those.

When a permit belongs to a customer you already have, it attaches to that account instead of arriving as a new lead to go win. Being pitched your own customer as a prospect is worse than useless.

Scored, not just listed

Configurable rules score what comes in, so a rep gets a reviewed queue instead of every permit in the county. On any lead, one click runs the research a good rep would do manually if they had a spare hour: every other permit that company has pulled, their contractor license, their website, reviews, and public filings.

That comes back as a customer-fit scorecard with the reasoning attached, so a rep can see why the system believes something. An uncited score in a sales tool gets ignored within two weeks.

Assigned with a playbook

A manager assigns the lead to a rep and picks the pursuit process to run — your standard steps, in order, with timing. Playbooks are versioned, and assignment pins the version, so changing the playbook tomorrow does not silently rewrite work already assigned.

Next steps, as real tasks

The playbook becomes concrete tasks on the lead, each with a due date and the reason it is there. A rep can complete a step, revise it, or add their own — because a process that punishes reality gets abandoned in a week. You define how the work should go and see how it actually went.

One list per rep, every morning

Everything due across all of a rep’s leads shows up in one place, completable as they go. The first screen a rep opens tells them what needs doing — it is not a form for reporting where they were.

Four ways a lead leaves the queue

Promote it into an account, mark it won, disqualify it with a reason, or archive it. All four are reversible, which is why reps will actually use them instead of parking everything in “maybe” forever. Captured consistently, “lost to competitor” and “lost on price” become the competitive picture your managers currently keep in their heads.

Before you book

Where does the permit data come from?

Building permits are public records. We pull them through a permit-data provider covering the counties you select, on a daily sync, plus a manual sync whenever you want one. You can also add leads by hand for referrals and warm intros — the permit feed is a source, not the only one.

Do you cover my counties?

Coverage varies by county, and it is the first thing worth checking. Tell us where your branches serve on the call and we will show you what actually comes back for your footprint before you commit two weeks to it.

Do I have to give you my customer list?

No. The permit data works without it — you will see every new permit in your counties from day one. What you give up is matching: without your accounts, we cannot tell you which permits belong to customers you already have, and we cannot enrich against them. That is a decision you can make after you have seen the data, not before.

We already have a CRM. Do I have to replace it?

No. Matterhaul has a public API and external-identifier support so records can carry your existing system’s IDs, and it syncs two-way with QuickBooks. If you are on something else, bring it up on the call and we will tell you straight what the integration looks like rather than guessing here.

Is this the whole Matterhaul platform?

Permit Feed is the way in. Matterhaul is a full operating platform for building materials distributors — quoting, orders, inventory, delivery — but none of that is required to run the permit feed, and the free two weeks do not commit you to any of it.

What happens after the two weeks?

We talk about whether it produced anything. If it did, we walk through what it costs and what a rollout looks like. If it did not, that is a useful answer too and there is nothing to cancel.
